The document collection challenge for tax preparers

Manual document collection creates bottlenecks that slow down your operations and frustrate your clients.

The same document requests go out to every client every year

Every January, you send the same list of needed documents to your entire client base. Then you spend weeks following up individually with clients who delay.

Clients don't know which documents they need

Many clients don't understand the difference between a W-2 and a 1099, or know what a K-1 is. They send random documents and miss the ones that matter.

Tracking who sent what across hundreds of clients is overwhelming

Without a system, you're checking spreadsheets, searching email, and mentally tracking which clients still owe which documents. Things fall through the cracks.

How zendoc solves document collection for tax preparers

Purpose-built features that automate the document collection workflow from request to receipt.

Return-type document templates

Templates for individual returns, small business returns, rental property owners, and self-employed clients. Each template lists exactly what documents are needed.

Client-friendly document descriptions

Instead of asking for 'Form 1099-INT,' the portal shows 'Bank interest statement — the form your bank sends showing interest earned.' Plain language reduces client confusion.

One checklist, reused every season

Build the checklist for a client type once, then launch it from the workflows list for one client at a time each January. Last year's documents stay on that client's record under Files, so you can see what they sent before.

Preparation readiness indicator

See at a glance which returns have all documents and are ready for preparation. Prioritize your workflow based on completeness, not the order clients started.

Frequently asked questions

Can I send document requests to all my tax clients at once?

You create each client once, then launch the workflow from the workflows list and pick the client — each one gets their own portal link and their own checklist. A CSV client import and a multi-select launch are on the roadmap, not shipped.

Do clients have to sign up or create a password?

No. The secure link in their email signs them in, so there is no signup form and no password to create, and nothing to download. This removes friction and increases completion rates.

Can I see what documents a client filed last year?

Yes — every document a client sends lands on their client record under Files, so last January's paperwork is there when you build this year's request. The workflow itself is not listed on the client record, and the new checklist does not pre-populate from it.

How does the plain-language document descriptions feature work?

Instead of tax form numbers, clients see clear descriptions: 'Mortgage interest statement from your bank' instead of 'Form 1098.' This dramatically reduces client confusion and incorrect uploads.

Can I track which returns are ready for preparation?

Yes. The dashboard shows a preparation readiness indicator for each client. When all required documents are collected, that return is marked as ready. Prioritize your prep work based on completeness.
